This massive giveaway contest had over 20 collaborators to keep track up and Airtable a free project management app help Lanie get information from contributors without all the needless back and forward via email.

HOW TO ORGANIZE A LIST BUILDING GIVEAWAY
STEP 1: BRAINSTORMING
Block off about 1-2 hours to get down and dirty with details of your giveaway:
- Who is this giveaway for? – ( For the I’m the Boss Giveaway – the target audience it was online business owners & bloggers who have been business for 1-2 years and looking to scale )
- What kind of prizes do you want to offer?
- What’s your giveaway’s hook? How’s it different?
- Do you want to have contributors? How many?
- What will you call it?
- When will you have it? I say give yourself at 4-6 weeks (especially if you have contributors) to get everything ready & promote your giveaway.
Be sure to stretch out a plan for what you’ll do with all the new subscribers too.
STEP 2 – START LOOKING FOR CONTRIBUTORS
While you don’t need to get anything set in stone yet, now’s a good time to start reaching out to people you know to see if they’re interested in contributing a prize to your giveaway.
Lanie and I were already friends on Instagram so she slid into my DM’s with this….
Notice how she told me who it was for & a rough estimate of the time. After reaching out to a few people Lanie realized the giveaway worked better for most potential contributions in late January – so she moved the date.
STEP 3 – SET UP THE RULES
Write out a brief outline for contributions to view. Include any sharing or list requirements, deadlines and any legal pieces people should know. Along with the official name + date of the giveaway. While you don’t need to create your giveaway page yet, you will want to buy a url for your giveaway especially if that will be dedicated what your giveaway is called.
STEP 4- LINE UP THE TECH
Next, it’s all about setting air table to collect all the info you need from contributors — Lanie will be going over more in dept on her free training but she asked for things like —
- Headshot
- My website & social media handles
- A link to the product I’d be giving away
- Coupon code
- Product description
- Product mockup
Etc.
Also choose your giveaway software. You’re two best options are Upviral (standalone app) or Kingsumo (WordPress plugin or web app). Both Upviral + Kingsumo reward people who enter for sharing about the giveaway.
STEP 5 – SHARE AIRTABLE BASE WITH CONTRIBUTORS TO ADD THEIR CONTENT + CREATE SWIPE FILES
Lanie collected all our info in a Airtable form that required we supplied all the information she needed at once. You weren’t allow to submit the form other wises.
To make it easy for people to share create email swipe files, social media posts and graphics. Lanie hosted access to all these on airtable too.
STEP 6 – SHARE LIKE CRAZY
Remind contributors to share with their audiences too!
STEP 7 – PICK A WINNER + NURTURE THE LOSERS
After a winner is chosen the real work begins.Nurturingg all the new leads you got. Now, as a contributor, I still haven’t decided if I’m going to contact the contest people since sharing a CSV isn’t 100% complent with GDPR. But I wanted to contribute to the giveaway to support my friend + give my community some awesome prizes.
